Key Responsibilities

Visitor Management and Greeting

  • Welcome and greet visitors, clients, and vendors with professionalism, ensuring they feel comfortable and attended to upon arrival.
  • Maintain visitor logs and issue visitor passes as per company security protocols.
  • Direct visitors to the appropriate departments or individuals and provide relevant information regarding company services and policies.

Telephone and Email Communication

  • Answer incoming phone calls promptly, directing them to the right contacts or taking messages as needed.
  • Handle general inquiries via phone and email, providing accurate information or forwarding requests to the relevant teams.
  • Maintain a polite and courteous phone demeanor, ensuring positive interactions with all callers.

Administrative Support

  • Assist with general administrative duties, such as data entry, document preparation, and filing, to support various departments.
  • Coordinate appointments, schedule meetings, and manage conference room bookings as requested.
  • Prepare and organize documents, ensuring that front-desk materials, forms, and brochures are readily available and up to date.

Office Management and Organization

  • Keep the reception area clean, organized, and stocked with necessary supplies to create a welcoming environment.
  • Manage inventory of office supplies and coordinate with procurement to replenish items as needed.
  • Ensure that mail, packages, and deliveries are received, sorted, and distributed to the appropriate individuals promptly.

Customer Service and Problem Resolution

  • Address visitor and caller inquiries with professionalism, directing them to the appropriate resources or resolving minor issues independently.
  • Coordinate with security personnel for visitor access and to resolve any security-related concerns.
  • Provide support to the customer service team when needed, helping to ensure a seamless customer experience.

Qualifications

  • Education: High school diploma or equivalent; additional certification in Office Administration or Customer Service is a plus.
  • Experience: Previous experience in a receptionist or front-desk role is preferred but not required.
  • Skills: Excellent verbal and written communication skills, strong multitasking abilities, and proficiency in Microsoft Office and office phone systems.
  • Attributes: Friendly, welcoming demeanor with a customer-focused approach, high attention to detail, and the ability to handle pressure in a fast-paced environment.
