Key Responsibilities
Executive Support
- Provide administrative assistance to executives, including managing calendars, scheduling meetings, and handling correspondence.
- Prepare reports, presentations, and documents as required by the executive team.
- Serve as a point of contact between executives and internal/external stakeholders, ensuring smooth communication.
- Manage travel arrangements, expense reporting, and other logistical tasks for the executive team.
Tendering Coordination
- Oversee the preparation, submission, and tracking of tenders to ensure compliance with requirements and deadlines.
- Liaise with clients, vendors, and internal departments to gather necessary information and documentation for tender submissions.
- Conduct initial reviews of tender documents to identify key deliverables and timelines.
- Ensure tender proposals are accurate, professionally formatted, and submitted on time.
Documentation and Record Keeping
- Maintain organized records of tender documents, contracts, and correspondence for easy retrieval and audit purposes.
- Track tender statuses and follow up on submissions to ensure the process runs smoothly.
- Assist in drafting, proofreading, and editing tender-related documents and contracts.
Stakeholder Communication
- Act as the primary point of contact for inquiries related to tenders, ensuring accurate and timely responses.
- Coordinate with internal teams to address queries or resolve issues during the tendering process.
- Build and maintain positive relationships with clients, vendors, and business partners.
Compliance and Process Improvement
- Ensure that all tendering activities adhere to company policies, legal requirements, and industry standards.
- Suggest improvements to streamline tendering processes and administrative workflows.
Qualifications and Skills
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience as an executive secretary and/or tendering coordinator.
- Strong understanding of tendering processes and requirements.
- Excellent organizational skills and the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Exceptional communication and interpersonal skills.
- Strong attention to detail and a high level of accuracy.
- Ability to maintain confidentiality and handle sensitive information professionally.
