Key Responsibilities
Payroll Processing and Accuracy
Prepare and process payroll for all employees, ensuring accurate calculations of wages, deductions, bonuses, and overtime in compliance with company policies and local laws. Verify time records, calculate payroll liabilities, and ensure timely payroll distribution. Work closely with the finance department to ensure proper reconciliation of payroll accounts and resolve any discrepancies promptly.
Compliance and Reporting
Stay updated on federal, state, and local payroll regulations and labor laws to maintain full compliance and avoid legal issues. Prepare and submit payroll-related reports to government agencies, including tax filings and year-end reports. Generate internal payroll reports for HR and management, offering insights into payroll expenses, headcount costs, and trends.
Employee Support and Issue Resolution
Serve as the primary contact for payroll-related inquiries, resolving employee questions and issues about their paychecks, deductions, taxes, and benefits promptly. Educate employees on payroll policies, benefits deductions, and time-off balances. Address any payroll discrepancies or errors, ensuring employees are paid accurately and on time.
Payroll System Maintenance
Manage and maintain payroll software systems, ensuring data accuracy and efficiency. Enter new employee information, update existing records, and manage any changes related to employee status, benefits, or deductions. Work with IT and software providers to implement updates, troubleshoot issues, and recommend enhancements that improve the overall payroll process.
Process Improvement and Documentation
Identify opportunities to streamline payroll processes, enhance accuracy, and reduce time and resource expenditure. Document payroll procedures and policies, ensuring they are clear, up-to-date, and accessible for training and compliance purposes. Participate in projects related to payroll automation and process improvements, contributing to the continuous enhancement of payroll operations.
Qualifications and Skills
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related field.
- Proven experience in payroll processing and payroll software.
- Strong knowledge of payroll regulations, tax laws, and compliance standards.
- Excellent attention to detail and numerical aptitude.
- Strong problem-solving abilities and analytical skills.
- Proficiency in payroll software and MS Office, especially Excel.
- High degree of confidentiality and professionalism.
