Key Responsibilities
1. Administrative Support
Manage and organize the executive’s daily activities, including scheduling meetings, appointments, and travel arrangements. Prepare agendas, reports, and presentations for meetings and ensure all necessary documents are readily available.
2. Communication Management
Handle incoming and outgoing correspondence, including emails, phone calls, and letters. Act as a liaison between the executive and internal or external stakeholders, ensuring clear and effective communication. Screen and prioritize messages to ensure timely responses.
3. Meeting Coordination
Plan and coordinate meetings, conferences, and events. This includes booking venues, preparing materials, and taking minutes during meetings. Follow up on action items to ensure they are completed within the agreed timelines.
4. Information and Document Management
Maintain organized and secure filing systems for both physical and digital documents. Ensure the confidentiality of sensitive information and provide support in retrieving or distributing records as needed.
5. Task Prioritization and Multitasking
Assist the executive in prioritizing tasks and managing workload. Handle multiple assignments simultaneously while maintaining high attention to detail and meeting deadlines.
6. Relationship Management
Build and maintain professional relationships with clients, partners, and team members on behalf of the executive. Represent the executive in a professional and courteous manner in all interactions.
7. Financial and Expense Management
Assist with budget tracking, expense reporting, and financial record-keeping. Ensure that all expenditures are authorized and accounted for accurately.
8. Problem-Solving and Decision Support
Identify potential issues and propose solutions to streamline processes or address challenges. Provide research and insights to support the executive’s decision-making process.
Qualifications and Skills
- Proven experience as an Executive Secretary, Personal Assistant, or in a similar role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite and other administrative tools.
- Discretion and confidentiality in handling sensitive information.
- Ability to multitask and work under pressure in a fast-paced environment.
- Professional demeanor and strong interpersonal skills.
- Bachelor’s degree in business administration or a related field is preferred.
Work Environment
