Key Responsibilities
- Executive Administrative Support
- Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Handle confidential correspondence and documentation with utmost discretion.
- Prepare and distribute meeting agendas, minutes, and follow-up action items.
- Act as a liaison between the executive and internal teams or external stakeholders.
- Tendering Coordination
- Coordinate the preparation, review, and submission of tender documents in compliance with client requirements and deadlines.
- Liaise with internal teams, including sales, legal, and technical departments, to gather necessary inputs for tenders.
- Ensure all tender documentation is accurate, complete, and formatted according to client specifications.
- Maintain a database of tender opportunities, submissions, and outcomes for tracking and reporting purposes.
- Document Management and Compliance
- Organize and maintain filing systems for all tender-related documents and correspondence.
- Ensure compliance with legal and organizational standards in document preparation and submissions.
- Track tender deadlines and milestones to ensure timely actions and submissions.
- Communication and Coordination
- Facilitate clear communication between internal teams and external stakeholders during the tendering process.
- Respond promptly to inquiries from clients or team members related to tenders or administrative matters.
- Monitor updates on tender opportunities, amendments, or clarifications from clients or regulatory bodies.
- Reporting and Analysis
- Prepare regular status reports on tender activities and administrative tasks for the executive’s review.
- Analyze feedback from unsuccessful tenders to identify areas for improvement.
- Provide insights into trends in tendering requirements to help refine future strategies.
Qualifications and Skills
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Proven experience in a secretarial or administrative role, with exposure to tendering processes being a strong advantage.
- Exceptional organizational and time-management skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and document management software.
- Strong written and verbal communication skills.
