Key Responsibilities
1. Supplier Sourcing and Relationship Management
Identify and evaluate potential suppliers to meet the organization’s procurement needs. Establish and maintain strong relationships with vendors, ensuring reliability, quality, and cost-effectiveness. Regularly review supplier performance and address any issues related to quality, delivery, or pricing.
2. Procurement Planning and Execution
Coordinate with department heads to understand material requirements and forecast procurement needs. Prepare purchase orders, ensure accurate specifications, and track orders to ensure on-time delivery.
3. Negotiation and Contract Management
Negotiate favorable terms with suppliers, including pricing, delivery schedules, and payment terms. Draft and manage procurement contracts, ensuring compliance with organizational policies and legal requirements.
4. Inventory and Stock Control
Monitor inventory levels to ensure adequate stock without over-purchasing. Work closely with warehouse and logistics teams to optimize storage and reduce waste or excess inventory.
5. Cost Analysis and Budget Management
Analyze procurement costs and identify opportunities for cost reduction. Prepare and manage budgets for purchasing activities, ensuring alignment with financial targets.
6. Quality Assurance
Ensure that all purchased goods and services meet the organization’s quality standards. Address and resolve any quality-related issues with suppliers promptly.
7. Documentation and Reporting
Maintain accurate procurement records, including purchase orders, contracts, and supplier communications. Prepare reports on procurement activities, cost analysis, and supplier performance for management review.
8. Compliance and Risk Management
Ensure that all procurement activities comply with legal regulations and organizational policies. Mitigate risks by selecting reliable suppliers and adhering to ethical procurement practices.
Qualifications and Skills
- Bachelor’s degree in supply chain management, business administration, or a related field.
- Proven experience in procurement or purchasing roles.
- Strong negotiation and communication skills.
- Proficiency in procurement software and tools such as ERP systems.
- Analytical skills with a focus on cost management and efficiency.
- Knowledge of market trends, sourcing strategies, and supply chain processes.
- Excellent organizational and time-management skills.
