Key Responsibilities

1. Guest Reception and Personalized Service

  • Greet guests upon arrival, providing a warm and welcoming atmosphere.
  • Conduct a thorough orientation of the villa, explaining amenities, facilities, and services available to guests.
  • Anticipate guest needs by being proactive and responsive to their preferences and requests.
  • Maintain a high level of customer service by ensuring guest satisfaction throughout their stay.
  • Provide personalized recommendations for activities, dining, and local attractions based on guest preferences.

2. Managing Guest Requests

  • Handle guest requests efficiently and promptly, ensuring all needs are met in a timely and professional manner.
  • Coordinate with other departments such as housekeeping, maintenance, and kitchen staff to fulfill guest requirements.
  • Arrange for transportation, excursions, restaurant reservations, or any other special requests, ensuring smooth execution.
  • Ensure that guests’ requests for special arrangements, such as birthday celebrations, anniversaries, or other occasions, are planned and executed perfectly.

3. Ensuring Villa Operations

  • Oversee the day-to-day operations of the villa, ensuring it is clean, well-maintained, and stocked with all necessary supplies.
  • Regularly check the villa’s amenities and services, including pools, gardens, and equipment, ensuring everything is in perfect working order.
  • Coordinate with housekeeping to ensure that the villa is cleaned and prepared for guest arrivals and departures.
  • Ensure the villa is stocked with the necessary supplies, such as toiletries, linens, and kitchen essentials.

4. Guest Interaction and Relationship Building

  • Build rapport with guests and establish strong, ongoing relationships to enhance their overall experience.
  • Ensure that guest preferences, including food and beverage preferences, are noted and catered to throughout their stay.
  • Maintain guest privacy and confidentiality at all times, respecting their personal space and preferences.
  • Provide an empathetic and attentive approach to handling guest complaints, ensuring issues are resolved quickly and to the guest’s satisfaction.

5. Administrative Support

  • Manage guest check-ins and check-outs, ensuring all procedures are followed and guest information is documented accurately.
  • Assist with billing and invoicing, ensuring that charges are correct and settled upon departure.
  • Maintain accurate records of guest requests, preferences, and other pertinent information to enhance future visits or stays.
  • Ensure that all correspondence, including emails and phone calls, is handled professionally and efficiently.

6. Health and Safety Compliance

  • Ensure that the villa meets health and safety standards, and follow procedures for guest security, especially in case of emergencies.
  • Be familiar with all emergency protocols, including evacuation plans, first aid procedures, and security measures.
  • Ensure that the villa remains compliant with local regulations, including safety and hygiene standards.

Qualifications and Requirements

  • Education: A high school diploma or equivalent; further education in hospitality or tourism is a plus.
  • Experience: Previous experience in guest services, hospitality, or as a personal assistant in a luxury setting is preferred.
  • Skills: Strong interpersonal and communication skills, with the ability to work independently and as part of a team. Excellent problem-solving abilities.
  • Customer Service: Exceptional guest service skills and a genuine desire to create a memorable experience for each guest.
  • Attention to Detail: Ability to manage multiple tasks and stay organized in a fast-paced environment.
  • Languages: Proficiency in English; additional languages are a plus.
  • Flexibility: Ability to work irregular hours, including weekends and holidays, as required.
