Key Responsibilities

1. Administrative Support

  • Manage and prioritize the executive’s calendar, scheduling appointments, meetings, and travel arrangements.
  • Prepare, review, and organize documents, presentations, and reports for meetings or other purposes.
  • Maintain filing systems and ensure easy access to necessary information.

2. Communication Management

  • Handle incoming and outgoing correspondence, including emails, phone calls, and letters.
  • Act as a liaison between the executive and internal teams or external contacts, ensuring timely and clear communication.
  • Screen calls and emails, prioritizing urgent matters and responding as necessary.

3. Meeting Coordination

  • Plan, organize, and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure meeting rooms are equipped and logistics are handled efficiently.

4. Confidentiality and Professionalism

  • Handle sensitive information with discretion and ensure confidentiality is maintained at all times.
  • Represent the executive in a professional manner during interactions with clients, vendors, and staff.

5. Task Prioritization and Problem-Solving

  • Anticipate the needs of the executive and proactively handle potential issues.
  • Assist in managing priorities and deadlines to ensure tasks are completed on time.

6. Office Coordination

  • Oversee office supplies, equipment, and administrative tools to ensure seamless operations.
  • Collaborate with other departments to support organizational objectives and events.

7. Miscellaneous Tasks

  • Handle ad hoc projects and assignments as directed by the executive.
  • Continuously improve processes and procedures to enhance efficiency.

Qualifications

  • Bachelor’s degree in business administration or a related field is preferred.
  • Proven experience as an Executive Secretary or in a similar administrative role.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and organizational skills.
  • Strong attention to detail, time management, and multitasking abilities.
  • Ability to maintain confidentiality and handle pressure in a fast-paced environment.
