Key Responsibilities
1. Administrative Support
- Manage and prioritize the executive’s calendar, scheduling appointments, meetings, and travel arrangements.
- Prepare, review, and organize documents, presentations, and reports for meetings or other purposes.
- Maintain filing systems and ensure easy access to necessary information.
2. Communication Management
- Handle incoming and outgoing correspondence, including emails, phone calls, and letters.
- Act as a liaison between the executive and internal teams or external contacts, ensuring timely and clear communication.
- Screen calls and emails, prioritizing urgent matters and responding as necessary.
3. Meeting Coordination
- Plan, organize, and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Ensure meeting rooms are equipped and logistics are handled efficiently.
4. Confidentiality and Professionalism
- Handle sensitive information with discretion and ensure confidentiality is maintained at all times.
- Represent the executive in a professional manner during interactions with clients, vendors, and staff.
5. Task Prioritization and Problem-Solving
- Anticipate the needs of the executive and proactively handle potential issues.
- Assist in managing priorities and deadlines to ensure tasks are completed on time.
6. Office Coordination
- Oversee office supplies, equipment, and administrative tools to ensure seamless operations.
- Collaborate with other departments to support organizational objectives and events.
7. Miscellaneous Tasks
- Handle ad hoc projects and assignments as directed by the executive.
- Continuously improve processes and procedures to enhance efficiency.
Qualifications
- Bachelor’s degree in business administration or a related field is preferred.
- Proven experience as an Executive Secretary or in a similar administrative role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and organizational skills.
- Strong attention to detail, time management, and multitasking abilities.
- Ability to maintain confidentiality and handle pressure in a fast-paced environment.
