Key Responsibilities
- Employee Records Management
- Maintain accurate and up-to-date employee records, including personal details, contracts, performance reviews, and training histories.
- Ensure confidentiality and compliance with data protection regulations in handling employee information.
- Regularly update HR systems and databases to reflect changes in employee details or organizational structure.
- Recruitment and Onboarding Support
- Assist in the recruitment process by posting job advertisements, screening applications, and coordinating interviews.
- Prepare offer letters, employment contracts, and other necessary documentation for new hires.
- Facilitate onboarding for new employees, ensuring a smooth transition into the organization.
- Payroll and Benefits Administration
- Provide administrative support for payroll processing, including collecting and verifying attendance and leave records.
- Coordinate with payroll and finance teams to ensure timely and accurate salary payments.
- Assist employees with inquiries about benefits, leave policies, and HR systems.
- Compliance and Policy Implementation
- Ensure adherence to HR policies, labor laws, and organizational guidelines in all HR activities.
- Support audits and inspections by providing relevant documentation and reports.
- Stay informed about changes in employment legislation to maintain compliance.
- Employee Support and Engagement
- Act as the first point of contact for employee queries and concerns, providing guidance or directing them to the appropriate resources.
- Assist in organizing employee engagement initiatives, training programs, and team-building activities.
- Support performance management processes by coordinating appraisals and tracking progress on development plans.
- General Administrative Tasks
- Manage HR correspondence, including responding to emails, preparing reports, and distributing internal communications.
- Schedule and coordinate meetings, interviews, and training sessions as required.
- Maintain an organized filing system for all HR documents and records.
Qualifications and Skills
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Proven experience in an administrative or HR role.
- Strong organizational and multitasking abilities with attention to detail.
- Proficiency in HR software, MS Office Suite, and data management systems.
- Excellent communication and interpersonal skills.
