Key Responsibilities
1. Inventory Management
- Maintain accurate records of all stock items, including receiving, storing, and issuing materials as required by different departments.
- Conduct regular physical stock checks and reconcile them with the inventory management system to ensure data accuracy.
- Monitor stock levels and place orders when inventory reaches reorder points to prevent shortages and overstocking.
- Organize and label items in the store according to established systems to ensure easy retrieval and minimize errors.
2. Receiving and Inspection of Goods
- Receive incoming shipments of materials, supplies, and equipment, verifying the quantity and quality against purchase orders and delivery notes.
- Inspect the received goods for any damages or discrepancies and report issues to the procurement or purchasing department for further action.
- Ensure that all items received are properly documented and entered into the inventory management system.
- Coordinate with suppliers and logistics teams for the timely delivery and proper handling of materials.
3. Storage and Organization
- Maintain a clean, organized, and safe storage area, ensuring that materials are stored in designated locations to facilitate easy access and inventory control.
- Implement proper storage practices, including the use of shelving, racks, and bins, to maximize space utilization and prevent damage to materials.
- Ensure compliance with safety regulations and guidelines for storing hazardous materials or sensitive equipment.
- Conduct periodic audits of storage areas to identify and rectify any organizational or safety issues.
4. Issuing and Dispatching Materials
- Coordinate the issuance and dispatch of materials based on requisitions from different departments, ensuring timely and accurate delivery.
- Prepare and verify documentation for outgoing shipments, including packing lists and delivery notes.
- Maintain accurate records of all items issued from the store, updating the inventory management system accordingly.
- Work closely with the logistics and transportation teams to ensure smooth and efficient dispatch of goods.
5. Record Keeping and Reporting
- Maintain detailed records of stock movements, including receipts, issues, returns, and transfers, ensuring all data is accurately entered into the system.
- Prepare regular inventory reports for management, highlighting stock levels, discrepancies, and potential issues.
- Assist in the preparation of periodic inventory audits and participate in stocktaking activities.
- Analyze inventory data to identify trends, potential shortages, or excesses, providing recommendations for inventory optimization.
Qualifications and Skills
- High school diploma or equivalent; additional certifications in warehouse management or inventory control are a plus.
- Proven experience as a Store Keeper or in a similar role, preferably in a manufacturing, construction, or retail environment.
- Strong knowledge of inventory management systems and basic accounting principles.
- Proficiency in Microsoft Office Suite, especially Excel, and experience with ERP or inventory management software.
- Excellent organizational and multitasking skills, with a keen eye for detail.
- Strong communication skills and the ability to work effectively with various departments.
- Physical ability to lift and move heavy items as required.
