Key Responsibilities
1. Administrative Support
- Manage the executive’s daily schedule, including appointments, meetings, and travel arrangements.
- Handle correspondence by drafting, reviewing, and responding to emails, letters, and other communications.
- Prepare reports, presentations, and other documents to support the executive’s activities.
2. Meeting Coordination
- Schedule, organize, and prepare for meetings, including setting agendas and distributing materials.
- Record minutes of meetings, ensuring accurate documentation and timely dissemination to relevant stakeholders.
- Follow up on action items discussed during meetings to ensure completion within deadlines.
3. Office Management
- Maintain an organized filing system for documents, records, and correspondence.
- Monitor office supplies and coordinate procurement as needed to ensure seamless operations.
- Serve as the point of contact between the executive and internal/external stakeholders, maintaining professionalism in all interactions.
4. Communication and Liaison
- Act as a liaison between the executive and staff, facilitating communication and ensuring clarity of directives.
- Build and maintain professional relationships with clients, partners, and vendors on behalf of the executive.
- Screen and prioritize phone calls, emails, and requests for the executive’s time and attention.
5. Confidentiality and Discretion
- Handle sensitive information with the utmost confidentiality and professionalism.
- Ensure secure management of confidential files and documents.
- Uphold the executive’s reputation by exercising discretion in all interactions and tasks.
6. Special Projects and Support
- Assist the executive with special projects, research, and initiatives as needed.

Qualifications
- Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
- Proven experience as an Executive Secretary or in a similar high-level administrative role.
- Exceptional organizational and time-management skills.
- Strong proficiency in office software, including Microsoft Office Suite and scheduling tools.
- Excellent communication and interpersonal skills, with a professional demeanor.
- Ability to multitask and prioritize in a fast-paced environment.
