Key Responsibilities
- Administrative Support
- Manage and organize office documentation, correspondence, and records.
- Draft, format, and proofread letters, reports, and other official documents.
- Maintain filing systems, both electronic and physical, ensuring they are up-to-date and accessible.
- Schedule Management
- Manage calendars for executives or teams, scheduling appointments, meetings, and events.
- Coordinate meeting logistics, including booking venues, preparing agendas, and arranging materials.
- Ensure all deadlines and commitments are met by tracking schedules and following up on action items.
- Communication Management
- Handle incoming and outgoing communications, including phone calls, emails, and letters.
- Act as the point of contact between executives, employees, clients, and external stakeholders.
- Relay messages accurately and promptly, maintaining a professional tone in all interactions.
- Office Operations
- Order and manage office supplies to ensure uninterrupted workflow.
- Support in organizing office events, training sessions, or client meetings.
- Collaborate with other administrative staff to ensure efficient office operations.
- Confidentiality and Discretion
- Handle sensitive and confidential information with the highest level of discretion.
- Ensure compliance with company policies and data protection regulations.
- Reporting and Record Keeping
- Prepare meeting minutes, summaries, and reports as required.
- Maintain records of expenses, travel arrangements, and other administrative activities.
- Generate periodic reports to track and summarize office activities.
Qualifications and Skills
- High school diploma or equivalent; a degree or certification in office administration is an advantage.
- Proven experience in a secretarial or administrative role.
